Set up your team and service menu

Accurate staff schedules and service setup ensure online booking, the AI receptionist, and your calendar all show the right availability.

Manage staff

  1. Open Settings → Staff.
  2. Add each team member with name, photo, and contact info.
  3. Set working hours for each day of the week.
  4. Assign which services they can perform.
  5. Configure permissions if your plan supports role-based access.

Set up services

Add and manage the services your business offers — haircuts, treatments, classes, and more.

  1. Open Settings → Service.
  2. Tap Add service (or select an existing service to edit).
  3. Enter name & description — what customers see when booking.
  4. Set duration — blocks the correct time on the calendar.
  5. Set price — used at checkout and on reports.
  6. Assign staff who can perform this service.
  7. Optionally add buffer time — a gap before the next appointment.
  8. Save — the service appears on your calendar, online booking, and POS.

Service categories

Group related services under Settings → Service Categories — e.g. Haircuts, Color, Treatments. Categories organize your online booking page and help customers find the right service faster.

Booking labels

Create color-coded labels under Settings → Labels. Apply labels when creating or editing bookings to visually distinguish appointment types on the calendar.

Working hours

Set when each staff member is available for bookings, online scheduling, and the AI receptionist.

  1. Open Settings → Staff and select a team member.
  2. Tap Edit Schedule.
  3. For each day of the week, turn working days on or off.
  4. Set the start time and end time for each working day.
  5. Tap Save — availability updates on the calendar and online booking immediately.
Tip: Working hours define when someone can be booked. Use Staff time off to block specific dates or recurring breaks inside those hours.

Staff time off

Block vacation, sick leave, or recurring breaks so they no longer appear on your calendar or online booking.

  1. Open Settings → Staff and select a team member.
  2. Tap Edit Schedule.
  3. Tap Add Time Off (or edit an existing entry).
  4. Enter a reason (e.g. Vacation, Sick Leave).

One-off time off (does not repeat):

  • Set a start date and end date for the block.
  • Optionally turn on Set specific times to block part of a day (e.g. lunch 12:00–13:00) instead of the full day.

Weekly recurring time off:

  1. Choose Weekly as the repeat option.
  2. Set the start date — the series begins on or after this date.
  3. Select which weekdays apply (Mon–Sun chips; Mon–Fri is the default).
  4. Set a start time and end time — required for recurring blocks.
  5. Optionally set Repeat until for an end date, or leave open-ended.
  6. Save — the block applies every selected weekday during that time window.
Note: Staff time off is different from recurring appointments (repeat bookings for customers). For repeating client visits, see Recurring bookings.

Time off blocks calendar slots, online booking availability, and AI receptionist scheduling for that staff member during the blocked window.

Staff commissions

Track and configure how much each team member earns when they perform a service or sell retail products.

Set commission rates per service:

  1. Open Settings → Service and select a service (or create one).
  2. Scroll to Team member commission.
  3. Enable commissions and set a rate for each assigned staff member — percentage, fixed amount, or none.
  4. Save the service.

Set commission rates per product:

  1. Open Settings → Products and edit a retail item.
  2. Enable Team member commission.
  3. Set a rate for each team member, or use a default product rate on their Pay settings page.
  4. Save the product.

View earnings in one place: use the Payroll report under Settings → Reports to combine wages, service commissions, product commissions, and tips. See Payroll report.

Staff pay settings

Configure hourly pay and default product commission for each team member.

  1. Open Settings → Staff and select a team member.
  2. Tap Pay & timesheetsPay settings.
  3. Turn on Enable timesheets if they clock in and out for hourly pay.
  4. Enter an Hourly rate (leave blank if they are commission-only).
  5. Set a Default product commission — percentage, fixed amount, or none — for retail sales attributed to that staff member.
  6. Save.
Mixed pay: A staff member can have an hourly rate and service commissions on individual services. The payroll report adds wages, commissions, and tips together.

Service commission rates are still set per service under Settings → Service → Team member commission. Product-specific overrides can be set when editing each product.

Timesheets & clock in/out

Track worked hours for hourly staff using clock in/out or manual entries.

Before you start: enable timesheets and set an hourly rate in Staff pay settings for each team member who should clock in.

Clock in or out:

  1. On the Staff screen, use the clock icon in the top bar (linked team members), or open Timesheets from the schedule icon.
  2. Tap Clock in at the start of a shift and Clock out at the end.
  3. When clocking out, enter break minutes if the staff member took an unpaid break.

Manager: add or edit entries:

  1. Open Timesheets (from Staff or a team member’s Pay & timesheets section).
  2. Tap + to add a manual entry, or tap an existing row to edit clock in/out times, breaks, or notes.
  3. Each row shows a source badge — Clock in (from the app clock) or Manual (added or edited by a manager).
Tip: Timesheet hours feed the Payroll report automatically. When you are ready to pay staff, create a Pay run for that period. See Payroll report to review totals first.

Invite team members

Add front-desk staff, managers, or additional providers to your Fiyr business account.

  1. Open Settings → Business Profile.
  2. Scroll to the Team members section.
  3. Tap Invite user by email and enter their email address.
  4. Optionally add an invite message, then send.
  5. Share the invite link if needed — the recipient opens it to create an account or sign in and join your business.

Owners can edit roles, managed staff access, and deactivate members from the same screen. Invited users land on the accept-invite page from the email or link you share.
